Connect accounting integrations
Enable QuickBooks Online, QuickBooks Desktop, or Xero from Settings and connect the books your facility already uses.
Accounting cards are always listed on Settings > Integrations. If payments are not enabled yet, they stay dimmed until you finish billing setup. Shopmonkey, HubSpot, QR codes, cameras, the API, and custom domains stay available — see Connect Shopmonkey, Connect HubSpot, and Connect the API.
Only one accounting integration can be on at a time. Enabling QuickBooks Online, QuickBooks Desktop, or Xero turns the others off.
Use this guide after Connect payment processing. Most live sync flows follow Stripe invoices, payments, refunds, and payouts.
What you will accomplish
- Find QuickBooks Online, QuickBooks Desktop, or Xero in Settings → Integrations.
- Read what each connection does before turning it on.
- Enable the integration and finish connect or export setup in the same dialog.
Before you start
- You need the Schedule permission to open Settings > Integrations.
- Finish Connect payment processing so accounting cards can be turned on.
- Know whether your bookkeeper uses QuickBooks Online, QuickBooks Desktop, or Xero. The facility can have only one of these on at a time.
Open the catalog
Go to Settings > Integrations.
The page title is Integrations. Search the grid if you do not see the name right away.
- Search or browse the cards
Use Search integrations… or scan the Accounting cards. Each card shows Off, On, or Connected.
- Open a card
Click QuickBooks Online, QuickBooks Desktop, or Xero. A dialog explains what the integration does and what it syncs or exports.
- Finish connect or export
The dialog shows connect, mapping, or export controls for integrations that are already on.
Why this matters: Enabling only makes the integration available for this facility. You still need to connect QuickBooks Online or Xero, or download a Desktop export, before anything reaches the books.
Choose the right accounting tool
QuickBooks Online and Xero keep invoices and payments in sync automatically after you sign in.
QuickBooks Desktop downloads an IIF file or spreadsheet for a date range. It does not stay connected.
Connect QuickBooks Online or Xero
- Enable the card
Open Settings > Integrations, click the card, and enable it.
- Sign in
Use the connect button in the dialog and complete the QuickBooks or Xero sign-in.
For Xero, confirm the organisation if more than one is listed.
- Map accounts
After QuickBooks Online connects, choose where cash/check deposits, Stripe card payments, income, and fees should land.
Why this matters: Some books use a custom Undeposited Funds account instead of the default. New payments follow the accounts you pick here.
- Confirm a test invoice
Create or pay a small test invoice and confirm it appears in QuickBooks or Xero the way your bookkeeper expects.
Export to QuickBooks Desktop
- Enable QuickBooks Desktop
Open the QuickBooks Desktop card and turn it on.
- Match account names
Enter income, A/R, and undeposited funds names that match the Desktop company file.
- Download the file
Choose a date range and download an IIF file or spreadsheet. Import that file in QuickBooks Desktop.
What success looks like
- The integration card shows On or Connected.
- QuickBooks Online or Xero can reconnect from the same dialog if tokens expire.
- QuickBooks Desktop can download an export without waiting on an admin flag.
